Maintaining secure prescription drug supply chains has become a top priority. According to the World Health Organization, counterfeit prescription drugs contributed to more than one-million deaths worldwide in 2019. To protect patients in the USA, Congress passed the Drug Supply Chain Security Act (DSCSA) in 2013. The DSCSA went into effect in 2015 but will not be fully implemented until 2023.

The DSCSA mandates complete unit-level traceability in the entire pharma supply chain, affecting how supply chains track, store, and use data. It requires the use of an electronic system to track products from manufacturing all the way up until they are in consumer hands. Pharma companies are already reviewing solutions that will help them comply with the DSCSA, but how does it affect today’s supply chain, and what areas should companies review?

Starting in 2019, the DSCSA mandated that all manufacturers must have a central database with serialization for drug products in the USA. The DSCSA requires four key elements on a two-dimensional barcode that must be kept for six years:

Global trade identification number;

Serial number;

Lot number, and;

Expiration date.

Beginning in 2023, all information must be tracked at the individual level along the supply chain, and all updates and modifications must be entered into the system within 24 hours.

In addition, the USA allows distributors to ship units of pills in packages of different quantities for individual bottles to pharmacies, sole practitioners, hospitals, care units, and other medical facilities. If a pharmacist or designated prescriber breaks a 100-unit bottle into 20-pill prescription bottles, a unique serial number must be tracked on the new 20-pill prescription bottles, increasing data complexity across the supply chain.

Key areas follow below that pharma manufacturers and all parties involved with distributing pharma products should review to maintain compliance in 2023 and beyond.

Data Collection

Companies should be proactively reviewing whether or not they are collecting all the data required by the DSCSA. Two use cases are examined below: companies that are not currently recording the data and companies are recording the data but do not share it.

The first group, not collecting data, could begin exploring new software and IoT devices that allow them to track required data, for example, temperature sensors and product location (via GPS tracking software).

The second group, those that have systems in place but do not share data, can move on to answering the question, “how do we compile all the data in one place for a single source of truth?”

Data Storage

One of the most crucial components to review and plan for is data storage. Supply chain parties including manufacturers, re-packagers, wholesale distributors, and dispensers will have to collaborate to centralize all data for every drug and patient, and make sure it is accessible in one shared database. The goal is to have a single source of truth to increase patient safety protection.

The good news is that solutions already on the market, like blockchain technology, fulfill this need. Moreover, blockchain can be integrated with warehouse management systems like transportation or labeling software to ensure data isn’t lost or corrupted at transactions within the supply chain flow. You may wish to learn more by reviewing many great articles on how to leverage blockchain potential.

Cybersecurity

With all of the data centralized in one location, the next question to ask is, “how do we ensure secure management of that data?” Companies should explore technology that safeguards patient privacy and has cloud security certifications like VAPT. Sharing data in a confidential and safe environment is vital to protect patient privacy. For instance, blockchain does not work as a centralized gatekeeper but instead uses computers, also called nodes, to share information in an almost hackproof way.

Develop or implement

With storage and security in hand, companies should procure or develop software that meets DSCSA compliance. Procuring existing software is probably the most common approach as it requires fewer resources, but it also involves finding the right solution implementation partner and one who, in some cases, may also run it.

If choosing the implementation route, look for partners with a track record of implementing diverse supply chain solutions. For example, Smith Manufacturing wants to use blockchain to gain full visibility of their drugs and control the cold chain while shipping internationally. For full visibility, Smith decides to integrate blockchain with its warehouse management systems (WMS), transportation management systems (TMS) and global trade management (GTM). Partners with extensive experience in WMS, TMS, and GTM software are most likely to succeed with blockchain implementation and integration with WMS, TMS, and GTM.

Label templates

Label templates must also be reviewed and updated to include new data and barcodes required by the DSCSA. In some cases, label templates may even need to be redesigned so that all of the information fits and is legible.
Companies may wish to implement label-management software to create a central label template repository. Labeling software provides a single source of truth for label templates and ensures that all internal and external team members always have access to correct label templates.

Conclusion

The DSCSA regulation is in large part responsible for speeding up a digital revolution in the pharma industry with a focus on increased data tracking, collaboration, and an interconnected supply chain. Pharmaceutical companies and those involved with the pharma supply chain are working around the clock to put solutions in place that meet DSCSA requirements to improve patient safety.

In March 2020, remote work was considered a temporary measure to help stop the spread of the Coronavirus disease (COVID-19) pandemic. Twelve months later, it looks like working off-site is here to stay. Some companies are continuing remote work policies as a measure to protect their employees.

With the pandemic still raging across the globe, the question many organizations are asking is, are supply chain teams prepared to continue working off-site? The answer is, that depends on what software and processes they decide to use.

For months, teams adapted as best they could to what they initially hoped was a temporary situation. The strategic approach was to defer large investments in new solutions while the depth and breadth of pandemic-related issues were sorted out.

After about a year of trial and error, organizations have a better handle on which things worked and which did not to maintain smooth-running supply chains. As we head into 2021, here are a few recommendations based on those experiences.

Due to a policy change, the new line had to be managed separately from the rest of its products in a new warehouse. Cloud Label Service was the label management system selected.

Santa Clara, California, January 14, 2021 — A leading nutritional supplement company chose Cloud Label Service, a comprehensive label management system developed by Gaea Global Technologies, Inc., to manage the labels for its new line of CBD products. The system had to be implemented in a few weeks and integrated with current systems to avoid costly delays.

Two months before the product launch, the nutritional supplement company’s 3PL provider instituted a policy against handling CBD products. As a result, the new line had to be managed in a different warehouse separated from the rest of the products. Even label printing for inventory, internal shipping, and outbound orders had to be managed separately.

The new solution had to automate label printing based on business events, including pick release and ship confirmation, and integrate with carriers to obtain shipment labels. “We needed a comprehensive labeling solution that could be integrated into our current ERP and be fully operational with minimal supervision within a few weeks,” the supplement company’s director of supply chain stated.

Cloud Label Service was selected because it met all labeling requirements. The label management system was up and running on time to manage all label templates and automate label printing for the CBD product launch. Using its dynamic web service functionality, occurrence of a business event triggered the system to automatically populate label templates with accurate data and send the labels to the printer. Cloud Label Service was integrated with three systems and now handles label generation and automated printing for an average of 250 orders daily.

“We were glad to assist a company with a new product launch using our label management system. Getting a new product into the market is always an important milestone, and we were pleased to meet their labeling requirements and needs.” Jason Mancuso, supply chain practice director at Gaea.

The company is assisting in streamlining supply chain labeling during these difficult times with free access to its labeling software Cloud Label Service.

Santa Clara, California, April 9th, 2020 — Gaea Global Technologies, Inc., a leader in supply chain, logistics, and project management, has been providing free access to its labeling software Cloud Label Service since April first to all health and food companies during COVID-19 breakout.

COVID-19 has put the supply chain in the spotlight as demand keeps increasing, companies need to react fast to meet not only end-users needs but also providers. The demand for oat milk has increased 477 percent compared to the same time last year and dried beans 231 percent. On the other hand, medical supplies such as masks, gloves and, medical gowns are crucial to follow protocols and hospitals are in need of those more than ever.

Gaea decided to take part in the initiative to fight the breakout and help companies to avoid any supply chain disruption and shortages caused by label errors. The company made an official announcement on their social media last week.

Amin Sikander, co-founder, added, “We wanted to do our bit in this fight that affects all of us. Incorrect labeling is the first reason for food recalls, and half of the medical device recalls are due to packaging issues, including label errors. By giving free access to Cloud Label Service, we intend to support these industries and minimize the risk of stopping an entire supply chain during this sensitive time.”

Cloud Label Service is a web-based platform that centralizes label information across the entire supply chain and ensures that all suppliers have access to current, correct label templates. The platform can be fully operational within a day depending on the complexity; after that, label updates can be deployed instantly across multiple suppliers worldwide.

Gaea has added a new section on the Cloud Label Service website for more information, and is asking companies to send an email to sales@cloudlabelservice.com with Fight COVID-19 in the subject line for immediate support. https://cloudlabelservice.com/support-for-health-and-food-companies-during-the-covid-19-crisis/

New Cloud Label Service enables collaboration across the entire supply chain for enhanced efficiency and reduced risk

SANTA CLARA, Calif., May 29, 2019 /PRNewswire/ — Gaea Global Technologies, a leader in supply chain management solutions and business process improvement, announced the immediate availability of Cloud Label Service, cloud subscription that gives organizations the freedom and flexibility to easily manage the label lifecycle. Cloud Label Service (CLS) is a cloud-based label management solution enabling collaboration across the supply chain. CLS ensures all stakeholders have current versions of labels, reducing costs and improving compliance. CLS also makes reverse logistics easy for customers and warehouse personnel..

Misprinted Labels Hurt Business

Companies have largely taken a build-your-own-infrastructure approach resulting in many disparate and incompatible standalone labeling systems. With inadequate label template control, different label versions can exist concurrently across the supply chain. Collaboration across the supply chain has been difficult, creating inefficiencies and potentially costing companies millions of dollars in errors and recalls.

When label errors cause companies to violate industry regulations, expensive recalls and even more expensive product liability claims may occur. Additional costs can be incurred by failing to comply with customer service-level agreements and the need to process product returns back through the supply chain. Any of these errors could quickly generate customer dissatisfaction and erode hard-earned loyalty. Cloud Label Service rectifies these issues.

“There are a lot of label tools in the marketplace, but most focus on authoring and design and not as much on collaboration. We felt it was time to rethink how enterprise labeling is managed. The end result is Cloud Label Service, an easy-to-use solution that allows users to collaborate seamlessly with other internal users, suppliers, and customers, and to automate the printing process,” said Amin Sikander, president, Gaea Global Technologies, Inc.

Cloud Label Service Collaboration Improves Efficiency

Cloud Label Service enables true collaboration across the entire supply chain. Internal users and external suppliers have the latest label templates immediately available with the right data from supply chain management systems. CLS easily brings data, labels, and people together, providing a cost-efficient, centralized solution allowing users to publish their labels and seamlessly integrate with host systems. Cloud Label Service provides the following functionality:

Centralized label template management with seeded industry templates;

Easy publishing and sharing of labels with internal users and suppliers;

Automated label printing based on business events including wave release, receipts, and shipping confirmations;

Automated reverse logistics flow and return label delivery, and;

Seamless integration with, and data utilization from, any source system.

Cloud Label Service Technology, Connectors, and Label Printing

Cloud Label Service is a multi-tenant application built on the latest technology stack utilizing best-in-class functionality to collaborate across the supplier base, and support multiple modes of label printing including cloud and on-premise. CLS includes an open-integration platform that allows connection with any data source. Stringent authorization and access controls are built into CLS to manage a secure cross-enterprise labeling platform.
